After-hours emergency call answering

After-hours calls go to voicemail, and some of those callers ring the next plumber instead.

Requirements & gating

Build steps

  1. Pull 4 weeks of after-hours call logs from the phone provider to set the baseline (calls, voicemails, callbacks).
  2. Point after-hours call forwarding at a Retell AI or Vapi number. Keep the business number unchanged.
  3. Agent tools: escalate_on_call (warm transfer to the on-call phone) and create_lead (POST to your endpoint).
  4. Your endpoint receives the call_analyzed webhook and writes the lead: Jobber clientCreate/request via GraphQL, Housecall Pro POST /leads (MAX plan), or for ServiceTitan, email the office until partner access is approved.
  5. Data fields: name, callback number, service address, problem summary, urgency (emergency/next-day/routine), water shut off (y/n), recording-disclosure played (y/n).
  6. Send the office a morning digest by email listing every overnight call and its outcome.

Test cases before go-live

Tool names are examples, not endorsements. Check current features, plan tiers, and pricing before quoting a client.

Sample prompt

You are the after-hours receptionist for {biz}, a licensed plumbing company. Start by saying the call may be recorded and that you are an automated assistant. Collect name, address, callback number, and the problem. If water is actively leaking, explain how to shut off the main valve and use escalate_on_call. If the caller mentions gas, tell them to leave the building and call the gas utility or 911. Never quote prices or promise arrival times. Read the details back before ending.

Pitch it to the owner

"After-hours calls get answered and sorted. Real emergencies get routed to your on-call phone, and the rest show up in your morning summary."

Lead with the outcome, not with "AI," and show the business case using their own numbers.

What can go wrong

Not legal advice. Texting, calling, and recording rules vary by country and state and change over time. Have the client confirm compliance with qualified counsel before launch.

Suggested price
